Why is Crystal Reports ignoring data ouside the retention period when the data is still in the database?

When running a custom SQL query on a HST_* table in the SMS_AR_Report database, the query may return data that is beyond the retention period set in Advanced Reports Database Maintenance.

Causes and Fixes


In some situations, the AR archive job may be timing out and data which crystal has been told is outside the retention period has not in fact been removed from the database. In this situation, Crystal will continue to use the retention period settings defined with SMS when running reports.


This is normal system behavior. The Advanced Reports reporting tool compares the date/time the user enters for reporting and compares that to the date/time set in Advanced Reports Database Maintenance. If any part of the date/time set in the report is outside of the retention period set in Advanced Reports Database Maintenance that part of the request is ignored and only data within the retention period is presented.

It is recommended to troubleshoot the reason why the data is not being archived. In most situations it is because the archive task is timing out. That timeout can be adjusted by following RESL211198.
